Job Overview
CRDB Bank is seeking a Zonal Facilities Specialist for the Western Zone to oversee real estate and facility management functions. This role involves managing construction projects, facility maintenance, lease agreements, motor vehicle upkeep, office tools, and logistics for branches across the zone. The specialist will also provide strategic recommendations to enhance operational efficiency while ensuring compliance with bank policies and procedures.
Key Responsibilities
Facility & Real Estate Management
- Manage vendors providing real estate and facility management (REFM) services, ensuring contract compliance to protect the bank’s interests.
- Oversee maintenance and refurbishment projects, conducting site inspections and progress evaluations to ensure cost-effectiveness.
- Ensure timely maintenance of branch premises and offsite ATMs.
- Conduct periodic condition assessments of bank facilities.
- Address urgent maintenance needs at branches and coordinate necessary repairs.
- Evaluate renovation requirements and provide recommendations to REFM management.
Lease & Vendor Management
- Conduct market research on rental rates and advise management.
- Maintain an up-to-date lease register and rental payment tracker to prevent payment irregularities.
- Track lease expirations and notify REFM of contracts expiring within six months.
- Participate in lease negotiations for new and renewed agreements, ensuring bank interests are protected.
- Conduct due diligence on landlords before finalizing lease agreements.
- Maintain strong relationships with landlords and vendors to address service-related issues.
Compliance & Safety
- Ensure compliance with regulatory requirements, including environmental, health, and security policies.
- Address and prevent Occupational Safety and Health Administration (OSHA) issues.
- Monitor outsourced service providers, including cleaning, fumigation, AC maintenance, garages, hotels, and office equipment suppliers.
Logistics & Asset Management
- Coordinate procurement and distribution of office equipment, including furniture, note-counting machines, safes, printers, shredders, and water dispensers.
- Track and manage idle assets, facilitating their disposal when necessary.
- Maintain proper records for branch vouchers, files, and unused assets.
- Oversee the bank’s fleet, ensuring vehicle maintenance, fuel usage monitoring, insurance claims, and driver management align with bank policies.
- Supervise internal and third-party drivers, ensuring adherence to operational guidelines.
Administrative & Budgeting Responsibilities
- Ensure timely payment of REFM vendors within the zone.
- Prepare and submit monthly reports on REFM activities and budget accruals.
- Develop and manage the zonal budget for building maintenance, motor vehicle upkeep, and fuel expenses.
- Conduct quarterly vendor performance evaluations.
- Consolidate and coordinate pre-printed stationery procurement for branches.
- Perform any other duties as assigned.

Qualifications & Experience
- Education: Bachelor’s degree or advanced diploma in Architecture, Civil Engineering, Quantity Surveying, Facility Management, or a related field.
- Experience: Minimum of three (3) years in facility management, real estate, construction, or site development.
- Professional Registration: Must be registered with the relevant professional body (if applicable).
- Technical Skills:
- Contract management and vendor oversight.
- Budget planning and financial principles understanding.
- Project management and facility maintenance planning.
- Soft Skills:
- Strong verbal and written communication in English and Swahili.
- Excellent problem-solving and multitasking abilities.
- Team-oriented with a customer-centric approach.
- Ethical, trustworthy, and proactive in work execution.
