Procurement & Logistics Assistant – IOM (March 2025)
Job Overview
The International Organization for Migration (IOM) is seeking a dedicated and detail-oriented Procurement & Logistics Assistant to join our team in Dar es Salaam, Tanzania. Reporting directly to the Resource Management Officer and under the overall supervision of the Chief of Mission, the successful candidate will play a crucial role in managing procurement and logistics operations while ensuring compliance with IOM policies and Tanzanian regulations.
Key Responsibilities
- Procurement Management
- Oversee and manage all procurement activities in line with IOM policies and organizational needs.
- Establish effective mechanisms to prevent fraud and ensure transparency in all transactions.
- Process purchase requisitions (PRs), issue requests for quotations (RFQs), and prepare bid analysis summaries (BAS) before finalizing purchase orders (POs).
- Ensure procurement documents follow the IOM authorization matrix for approvals.
- Prepare Request for Payment (RFP) documents and ensure proper closure of purchase orders upon delivery.
- Logistics & Inventory Management
- Liaise with customs and revenue authorities to ensure seamless clearance of IOM shipments in compliance with Tanzanian laws.
- Maintain an up-to-date inventory tracking system for all IOM assets in Dar es Salaam and implement effective procedures for asset management and disposal.
- Ensure all vehicles are properly registered, taxed, and insured per local regulations.
- Work closely with the IOM Administration to secure and maintain insurance coverage for all IOM assets.
- Oversee office equipment maintenance (excluding IT equipment) and ensure the security of IOM’s Dar es Salaam office.
- Maintain vehicle records, including purchase invoices, insurance details, and registration documents.
- Clearing & Forwarding Services
- Handle clearing and forwarding assignments for IOM shipments.
- Provide guidance on import/export regulations, including duty-free commodities and exemptions for international staff.
- General Support
- Assist with additional tasks and projects as assigned to support procurement and logistics operations.

Qualifications & Experience
- Education
- Secondary School Diploma with 4 years of relevant experience; OR
- Bachelor’s Degree in Law (LLB), Procurement, or a related field with 2 years of experience.
- Degrees must be from UNESCO-accredited institutions.
- Experience
- Proven experience in international procurement, public procurement, or supplier management.
- Knowledge of contract management and legal aspects is an added advantage.
- Ability to work under pressure and meet tight deadlines.
- Skills
- Strong proficiency in Microsoft Excel, Word, and Outlook.
- Excellent organizational and problem-solving skills.
Languages
- Required: Fluency in English (oral and written).
- Desirable: Working knowledge of French and/or Spanish.
