Key Responsibilities

As an Office Management Secretary II, your primary duties will include:

  • Document Preparation: Typing and formatting various documents with accuracy.
  • Office Maintenance: Ensuring office equipment and supplies are well-maintained.
  • Correspondence Handling: Managing routine correspondence and responding to inquiries.
  • Record Keeping: Maintaining and updating office registers and filing systems.
  • Visitor Management: Receiving and directing visitors professionally.
  • Meeting Coordination: Taking minutes, preparing agendas, and organizing meeting logistics.
  • Dictation & Transcription: Taking dictation in both English and Kiswahili using shorthand.
  • Mail Sorting & Filing: Handling incoming and outgoing mail efficiently.
  • General Office Support: Performing other administrative duties as assigned by the supervisor.

Qualifications & Experience

To be considered for this position, candidates must meet the following requirements:

  • Education: Diploma in Secretarial Studies from a recognized institution.
  • Technical Skills:
    • Proficiency in Shorthand Writing – English and Kiswahili (minimum 100 words per minute).
    • Strong knowledge of Microsoft Office Suite (MS Word, MS Excel, MS Publisher).
    • Familiarity with Internet & Email applications for efficient communication.
  • Professional Attributes:
    • Excellent organizational and time management skills.
    • Strong attention to detail and accuracy in documentation.
    • Ability to handle sensitive information with discretion.
    • Good interpersonal and communication skills.
