Key Responsibilities
As an Office Management Secretary II, your primary duties will include:
- Document Preparation: Typing and formatting various documents with accuracy.
- Office Maintenance: Ensuring office equipment and supplies are well-maintained.
- Correspondence Handling: Managing routine correspondence and responding to inquiries.
- Record Keeping: Maintaining and updating office registers and filing systems.
- Visitor Management: Receiving and directing visitors professionally.
- Meeting Coordination: Taking minutes, preparing agendas, and organizing meeting logistics.
- Dictation & Transcription: Taking dictation in both English and Kiswahili using shorthand.
- Mail Sorting & Filing: Handling incoming and outgoing mail efficiently.
- General Office Support: Performing other administrative duties as assigned by the supervisor.

Qualifications & Experience
To be considered for this position, candidates must meet the following requirements:
- Education: Diploma in Secretarial Studies from a recognized institution.
- Technical Skills:
- Proficiency in Shorthand Writing – English and Kiswahili (minimum 100 words per minute).
- Strong knowledge of Microsoft Office Suite (MS Word, MS Excel, MS Publisher).
- Familiarity with Internet & Email applications for efficient communication.
- Professional Attributes:
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy in documentation.
- Ability to handle sensitive information with discretion.
- Good interpersonal and communication skills.
