Position: Office Management Secretary II (1 Post)
Qualifications
To be eligible for this role, applicants must:
- Hold a Form IV Certificate with passes in both English and Kiswahili.
- Possess a Diploma in Secretarial Studies (NTA Level 6) from a recognized institution.
- Have shorthand typing skills at 100 words per minute in English and Hati Mkato (Kiswahili).
- Be proficient in computer applications, including MS Word, MS Excel, Internet, Email, and MS Publisher.
Key Responsibilities
As an Office Management Secretary II, your duties will include:
- Handling and processing confidential documents.
- Receiving and organizing incoming correspondence (letters, emails, and other communications).
- Welcoming and directing visitors to the appropriate offices.
- Maintaining records of important events, including meetings, appointments, and official functions.
- Managing reminders and logistical arrangements for scheduled activities.
- Receiving phone calls, handling files, and transmitting messages to the relevant personnel.
- Procuring and maintaining office supplies.
- Preparing and organizing departmental meetings.
- Coordinating and facilitating official meetings.
- Reporting and following up on office equipment repairs or replacements.
- Identifying and maintaining a list of office requirements, ensuring timely procurement.
- Performing any other related duties as assigned by the supervisor.
