Job Overview

The Visits & Events Officer will play a key role in coordinating and executing high-profile visits and events for the British High Commission in Tanzania. The successful candidate will be responsible for managing logistics, ensuring smooth event execution, and overseeing residence operations.

This role requires strong organizational skills, excellent communication, and the ability to multitask under pressure. The candidate should be flexible and ready to take on different projects based on priority.


Key Responsibilities

1. Event Management (40%)

  • Lead the planning and execution of high-profile events for the BHC, ensuring professionalism and value for money.
  • Coordinate event logistics, working with internal teams (Estates, Communications, and Policy) and external stakeholders.
  • Manage event budgets and procurement processes, adhering to FCDO regulations.
  • Serve as the events manager for large-scale occasions like the King’s Birthday Party, handling on-the-day coordination and post-event follow-up.

2. Visits Coordination (20%)

  • Act as the central coordinator for senior official and ministerial visits.
  • Develop visit schedules and maintain communication with BHC colleagues and HQ representatives.
  • Handle logistics and practical arrangements, ensuring seamless visits.

3. Residence Operations Management (30%)

  • Supervise a team of four residence staff, providing guidance and support.
  • Ensure proper financial and operational controls, including stock and store management.
  • Oversee purchases for day-to-day residence activities.
  • Serve as the Health & Safety lead, in collaboration with the designated H&S coordinator.

4. General Support & Other Duties (10%)

  • Provide additional support as required, such as PA cover for senior leadership.
  • Assist with special projects or assignments based on operational needs.

Essential Qualifications & Skills

  • Experience in event planning or the hospitality industry, particularly organizing medium-to-large events.
  • Strong communication and time management skills.
  • Proven ability to manage budgets of over $20,000.
  • Experience leading a team of at least two people.
  • Fluent in spoken and written English.

Desirable Qualifications & Skills

  • Experience managing high-profile visits, including government officials and dignitaries.
  • Background in estates management.
  • Experience working for an international organization.

  • Employees not liable for local income tax may have their salaries adjusted accordingly.

Work Location & Flexibility

  • The role will primarily be based at Umoja House and the High Commissioner’s Residence.
  • While some flexibility is possible, a physical presence is required most days, especially during events or visits.
  • Evening work may be required for special events, with compensation through TOIL (Time Off in Lieu), Overtime, or Shift Disturbance Allowance (SDA).
