Position: Accounts Officer I

Key Responsibilities

1. Financial Data Entry & Record-Keeping

  • Accurately record daily financial transactions in the accounting system.
  • Ensure all invoices, receipts, and financial records are properly documented and systematically filed.

2. Bank & Account Reconciliation

  • Perform bank, vendor, and customer account reconciliations to ensure accuracy.
  • Identify and promptly resolve any discrepancies in financial records.

3. Processing Payments

  • Prepare payment vouchers and process invoices.
  • Ensure timely payments to suppliers and service providers, verifying compliance with company policies before approval.

4. Expense Management & Budget Monitoring

  • Record and categorize company expenses, ensuring proper allocation in financial systems.
  • Assist in tracking budgets and identifying areas for cost improvement.

5. Fund Accounting Support

  • Work closely with Fund Accountants to process contributions, withdrawals, and fund transactions efficiently.

6. Petty Cash Handling

  • Manage and reconcile petty cash transactions, ensuring proper usage and documentation.

7. Month-End Closing Activities

  • Support month-end financial closing by preparing journal entries and reconciliations.
  • Compile supporting documents to ensure accurate and timely financial reporting.

8. Vendor & Customer Communication

  • Maintain strong relationships with vendors and customers, resolving payment and invoicing queries efficiently.
  • Follow up on outstanding receivables and payables to maintain financial accuracy.

9. Financial Reporting Support

  • Provide financial data and reconciliations to the Finance Manager for statement preparation.
  • Generate basic reports on financial activities for internal use.

10. Administrative & Compliance Support

  • Assist in organizing financial meetings, preparing agendas, and documenting discussions.
  • Support audit and tax reviews by gathering necessary documents and ensuring compliance with regulations.
  • Perform additional tasks as assigned by the Finance Manager.

Qualifications & Experience

Education: Bachelor’s degree in Accounting, Finance, or a related field. CPA certification is preferred.
Experience: Minimum 3 years of experience in accounts payable, receivable, and financial reconciliations.
Technical Skills: Proficiency in accounting software and Microsoft Excel.
