Job Title: Accounts and Admin Assistant
We are looking for a dedicated and detail-oriented professional to join our team in Tanzania. The selected candidate will handle administrative, financial, and human resources tasks to ensure smooth office operations.
Key Responsibilities
Office Management:
- Provide administrative support to maintain efficient office operations.
- Arrange travel logistics for staff and organize company events.
- Manage and update office filing systems, both physical and digital.
- Oversee daily office functions, including procurement of supplies and equipment.
- Monitor inventory, coordinate maintenance, and ensure a safe and productive work environment.
- Maintain and manage office assets such as laptops, tablets, and furniture.
- Assist with human resource tasks, including recruitment support, onboarding new employees, maintaining employee records, processing payroll, and implementing HR policies.
- Handle office petty cash, track expenses, and manage financial records.
- Serve as a point of contact for vendors, including medical insurance providers.
- Act as a liaison between different teams, facilitating collaboration and information sharing.
- Coordinate logistics for training sessions, workshops, and meetings, including booking venues and arranging transport.
- Perform miscellaneous administrative duties as assigned.
Finance and Accounting:
- Perform monthly reconciliations for petty cash, bank transactions, suppliers, and taxes using QuickBooks.
- Ensure timely compliance with tax and regulatory requirements, including NSSF, PAYE, VAT, and WHT filings.
- Process supplier and project-related payments promptly.
- Monitor cash and bank balances to ensure adequate funds for operational needs.
- Strengthen cost efficiency by improving supplier agreements and monitoring project expenses.
- Review and reconcile field expense reports with allocated budgets.
- Analyze staff timesheets and allocate project costs accordingly.
- Coordinate with tax advisors and auditors, addressing queries and documentation requests.
- Maintain financial records, including contracts, invoices, salary slips, and tax documents.
- Collaborate with finance teams in other Laterite offices to ensure smooth financial operations.
Visa and Work Permit Processing:
- Manage visa and work permit applications, ensuring compliance with immigration laws.
- Maintain accurate records of application documents and track submission progress.
- Stay updated on Tanzanian immigration regulations and advise employees on visa requirements.
- Liaise with government agencies and authorities for visa processing.
- Communicate internally about visa and work permit status, ensuring timely renewals and submissions.
Qualifications and Skills:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Minimum of three years of relevant professional experience.
- Excellent written and spoken English communication skills.
- Strong knowledge of office management, visa and work permit processes, accounting, and bookkeeping.
- Proficiency in QuickBooks and Microsoft Office, particularly Excel.
- Must be a Tanzanian national.
